Getting guests from the ceremony to the reception and back again is one of the quietest ways to take pressure off a wedding day. Nobody has to worry about parking, drink driving or finding the venue, and the party starts as soon as everyone steps on board.
Why hire a coach for your wedding guests?
Rural venues, country houses and barns are popular around Leeds and across Yorkshire, and many have limited parking and no public transport nearby. A coach or minibus solves several problems at once:
- Guests can enjoy a drink without planning a taxi home
- There is no hunt for parking and no cars blocking the lane
- Everyone arrives together and on time for the ceremony
- Older relatives and young families travel comfortably
- Fewer vehicles on narrow venue drives is better for the neighbours and for your photographs
What size of vehicle do you need?
Start with the number of guests who will actually need transport, not the full invitation list. Many guests will drive or be dropped off, and others will stay on site. Once you have a realistic figure, add a few seats for last minute changes.
For smaller weddings a minibus is often enough. For larger parties a full-size coach carries around 50 or more, and some couples book two vehicles so they can run different pick-up points. If you are not sure, ask your operator to price a couple of options. Our article on what coach hire costs in Leeds explains how size affects the quote.
How do you plan the timings?
Work backwards from the ceremony start time and build in more slack than you think you need. Weddings rarely run to the minute, and guests rarely board on cue.
A typical plan looks like this:
- Pick-up at least 45 to 60 minutes before the ceremony, depending on the journey
- Ceremony to reception, if they are in different places, with a realistic gap for photographs and confetti
- Late evening return, with one or two fixed departure times so guests know when to be at the coach
Give guests the times in writing, ideally on the invitation or the wedding website, and name someone on the day who is responsible for the headcount. Our tip number eight, designate a group leader, applies just as well to a wedding.
Can a coach get to your venue?
Do not assume. Some country lanes, gatehouses and old bridges have width, weight or height restrictions, and a long vehicle may not be able to turn in a small car park.
Before you book, send the operator the venue’s full address and postcode, and ask the venue where a coach can set down, wait and turn. A good operator will check the route, and may suggest dropping guests at the main entrance and parking elsewhere. Ask about the exact setting down point so that elderly guests and anyone with mobility needs are not walking a long way in wedding shoes.
What should you ask the coach company?
- Is the vehicle accessible, and can it take wheelchair users or pushchairs?
- What is the policy on drinks on board? It varies between operators, so check.
- Can the coach be decorated, and are ribbons or signs allowed?
- How long will the driver wait, and what happens if the evening runs late?
- Is there a contact number that is answered on the day, including out of hours?
- What is the backup if the vehicle has a problem?
Clear answers to those questions tell you a lot about how the operator will behave on the day.
Should you book a one way trip or a return shuttle?
It depends on how your day is laid out. If the ceremony and reception are in different places, a two stage plan with a drop off and a late return is common. If you want the coach on hand for guests who leave at different times, a shuttle that makes two or three late runs spreads the load.
The right answer comes down to your guest list and your venue, which is why it helps to talk it through with someone who has done it many times before.
When should you book?
As soon as you have your date and venue. Saturdays in the summer are the most in demand days of the year for transport, and the best vehicles go first. Our general advice for peak dates is to book several months ahead, and our coach hire cost guide explains why early booking helps.
